You know your sales figure. Do you know your collection figure?

You know your sales figure. Do you know your collection figure?

Most owners can tell you last month's sales within a minute. Ask what is still outstanding and the answer takes two days and a call to the accountant.

Ask any owner what he did last month and the number comes out fast. Forty lakh, fifty two lakh, whatever it is. He has been watching that number all month.

Now ask a different question. Of that, how much has actually come in, and how much is still sitting with customers?

Silence. Then, let me check with accounts. Then, two days later, a figure that is roughly right.

Sales is a story. Collection is the truth.

A sale is a promise. Money in the bank is a fact. Every business that ran into trouble while the order book looked healthy ran into trouble in exactly this gap.

And the gap hides well, because it does not arrive as a crisis. It arrives as one party who always pays a little late. Then two. Then a habit. Nobody chased them, because nobody had a list to chase from.

Most follow-up in a small business happens by memory. Someone remembers that a party has not paid, usually because that party called about something else. The ones who stay quiet are the ones who stay unpaid.

What it looks like on the other side

You open one screen in the morning. Total outstanding. Split by how old it is, thirty days, sixty, over ninety. The five parties who owe the most, at the top. Who was called last and what they said.

That is it. No report to prepare, no accountant to disturb. Ten seconds.

What changes is not the number on the screen. It is that follow-up stops being a thing you remember to do and becomes a thing that happens. Businesses that recover thirty days of their own money do not get there with a better collection policy. They get there by being able to see.

So, right now, without calling anyone: how much money is lying with your customers, and how much of it is over ninety days old?

That one screen is usually among the first things we build for a business. Ask us what yours would show you tomorrow morning.
