Avani Design: from ledger books to one screen
An embroidery business could not say how much material was lying at each unit, or whose goods had been pending longest. Every record of it was handwritten. Thirty working days later it was all in one place.
The situation
Avani Design does embroidery job work across more than one unit, and every record of it was handwritten. Stock, orders, party balances, production, all of it lived in books.
Books are not the problem by themselves. Plenty of businesses run well on them for years. The problem is what you cannot do with them.
You cannot ask a book how much material is lying at each unit right now. You cannot ask it whose goods have been pending longest, or where one particular order has reached, or which design has actually earned its place on the machines this season. Every one of those questions meant going to the books, or more often to the phone, and the answer came back as whatever somebody happened to remember.
In a business where material moves between units and every order belongs to a party waiting for it, that is not an inconvenience. It is a ceiling. You cannot comfortably take on new work when you cannot see the work you are already running.
What we built
A web application built for this business and no other. Not a product bent to fit it, and not a general purpose system with most of it switched off.
Thirty working days from start to software they were using.
- Stock by party: how much of whose material is where
- Orders: when each one arrived, and whether it is in process right now
- Completion time: how long each order actually took, not how long it was meant to take
- Design performance: which design ran how much, over any period you choose
- Party business: how much work each party gave, over any period you choose
- Machine production: what each machine is actually producing
What changed
Every one of those questions is now a single click.
The entry and the analysis sit in the same place, which matters more than it sounds. A reporting system fed by somebody else's data entry always reports yesterday's version of the truth.
In the period since, with the system in daily use throughout, the business has grown close to ten times.
