What happens in your business when somebody forgets to follow up?

What happens in your business when somebody forgets to follow up?

In most businesses the honest answer is nothing. Nobody finds out, nothing flags it, and the only person who notices is the customer who went elsewhere.

Ask the question plainly. A customer was supposed to be called on Tuesday. Nobody called. What happens next?

In most businesses, nothing happens. No alert, no list, no review. The follow-up existed only in one person's memory and his memory had a busy day.

The customer waits a while, assumes you are not interested, and buys from somebody who did call. Nobody in your office ever learns that this occurred.

This is a design problem, not a discipline problem

The usual response is to tell the team to be more careful, which changes nothing, because the people forgetting are not careless. They are handling eleven things and one of them fell.

What is actually missing is consequence. Not punishment. Visibility. In a business where a missed follow-up shows up on a list the next morning, it gets done, and nobody has to be told anything.

That is the whole mechanism. People do the things that are visible.

The smallest version that works

You do not need a system to start. You need three rules.

  • Every open enquiry has a next date. No date means it is closed, and closing it is a decision somebody takes on purpose.
  • Somebody looks at today's list every morning. Five minutes.
  • Anything that passed its date without being touched stays on the list until it is dealt with.

Do that on paper and it will already change your numbers. Do it in software and it stops depending on whoever remembers to look.

And it takes the blame out of it entirely, which is why teams stop resisting it.

Ask your team today: if a follow-up was missed last week, how would any of us know?

Making a missed follow-up impossible to miss is one of the first things we build, and it changes numbers faster than almost anything else. Ask us what your list would look like.
